Bonus procedure

Under the Freedom of Information Act, I require ‘The Bonus Procedure’, with those specified employees that received such bonuses for ‘Reading unformatted Files’, ‘OSTF+ Logical Data Structure’ and ‘CITF Logical Data Structure.

I refer to the letter received by Ordnance Survey, from James Hirst at the Information Commissioner’s Office, dated 12th November 2010. I regret to inform you that Ordnance Survey is unable to help you with your enquiry as we do not hold the information you have requested, and I detail the process we have undertaken to determine this below.

In relation to an Ordnance Survey bonus scheme for those employees ‘Reading unformatted Files’, ‘OSTF+ Logical Data Structure’ and ‘CITF Logical Data Structure, we have checked our electronic records system under the ‘Archive Pay Remit’ folder, but this information is no longer held as has been destroyed in accordance with our file retention procedures.

We have also carried out a search of the entire electronic records system to find any other files that would be applicable to the time in question, but these have also been destroyed as part of our retention procedures.

Further more, we have checked all the Pay Agreement/Negotiation registered departmental files prior to 1996, but there is no information in relation to bonuses for ‘Reading unformatted Files’, ‘OSTF+ Logical Data Structure’ and ‘CITF Logical Data Structure’.


Prior to the 1995 National Pay Agreement, all non-consolidated bonuses were linked to performance only. There was a special bonus scheme in place which was for exceptional performance in a ‘particularly demanding task or situation’, which was approved by the local manager, although student placements at AA (Admin Assistant) grade were not eligible for this bonus.

We did have an ADP (Automatic Data Processing) allowance payable to staff working within IS (Information Systems) at AO (Administrative Officer), EO (Executive Officer) and HEO (Higher Executive Officer) grades, which was a retention allowance paid to those with certain skills. Again, placement students at AA level did not qualify for this allowance.

We have also considered our financial records, but our finance department only keep details of allowance and bonus payments to individuals for seven years before automatic destruction.

To conclude, having made some in depth searches we are unable to find any details of any bonus scheme/policy relevant to ‘reading unformatted files’ and ‘OSFT + Logical Data Structure’ and ‘CITTF Logical Data Structure’ and therefore unable to provide details of the bonus procedure as requested.
