Thank you for your email of 23 October 2014, requesting information from Ordnance Survey in accordance with the Freedom of Information Act FOIA 2000:

1. How many FTE (full time equivalent) work days of staff absence were there in your department in 2010, 2011, 2012 and 2013?

2. How many of these staff absence days are recorded as being due to a form of either long-term or short-term disability?

3. How many workplace adjustment cases has your department received in each of the following years, and what has the total cost been to the department for workplace adjustments in each year for 2010, 2011, 2012 and 2013?

4. What is the average amount of time within your department/agency that it takes to complete a workplace adjustment case?

5. Budgets for workplace adjustments:
a) Does your department/agency have a centralised budget for workplace adjustment?
b) If your department/agency does have a centralised budget for workplace adjustments, how much was it for the years 2010, 2011, 2012 and 2013?
c) If your department/agency does have a centralised budget for workplace adjustments, who is currently responsible for managing this?

6. How many workplace assessments were conducted in your department/agency in each of the following years? 2010, 2011, 2012 and 2013

7. Does your department/agency have a specific written policy in place for staff and managers to follow to help staff with disabilities in the workplace? If so, could you please provide a copy of this?

Our response

I confirm that Ordnance Survey does hold some of the information you have requested. Where the information is not held or is exempt from disclosure this is detailed.

I am pleased to provide you with the attached information with regard to your request.

1. We confirm that we do hold this information. The work days of staff absence in our organisation for the years 2010, 2011, 2012 and 2013 were 6439, 4427, 5142 and 5010 respectively.

2. This information is not held by Ordnance Survey because Ordnance Survey does not record information about whether staff absence is due to either long term or short term disability.

3. I can advise that Ordnance Survey does not hold this information, because Ordnance Survey does not keep information on workplace adjustment cases, therefore we would not know the cost.

However under our duty to provide advice and assistance as stipulated in Section 16 of the FOIA, we can provide the following explanation which may assist you in this matter:

Ordnance Survey does keep information on ‘reasonable adjustments’ made. Reasonable adjustments can include changes to working pattern and changes made to an employee’s workplace.

The reasonable adjustments recorded in our annual and equality diversity reports are:

4. This information is not held by Ordnance Survey because Ordnance Survey does not record information on workplace adjustment cases; therefore we would not know the average amount of time that it takes to complete a workplace adjustment.

6. This information is not held by Ordnance Survey because Ordnance Survey does not record information on workplace assessments.

7. This information is not held by Ordnance Survey because Ordnance Survey does not record any written policies for staff and managers to follow to help staff with disabilities in the workplace.
