Thank you for your email of 18 December 2015, requesting the following information from Ordnance Survey in accordance with the Freedom of Information Act FOIA 2000:

Please can you send me the organisation’s Local Area Network (LAN) contract, which may include the following:

  • Support and maintenance - e.g. switches, router, software etc.
  • Managed
  • Installation
  • Cabling

1. Existing supplier: who is the current supplier for each contract?

2. Annual average spend for supplier: what is the annual average spending on the supplier above? If there is more than one supplier please split the annual averages spend for each supplier.

3. Number of users: please can you provide me with the number of users each contract covers. Approximate number of users will also be acceptable.

4. Number of sites: the number of sites where equipment is supported by these contract.

5. Contract type: for each contract is the contract managed, maintenance, installation, software.

6. Hardware brand: what is the hardware brand of the LAN equipment?

7. Contract description: please provide me with a brief description of the overall contract.

8. Contract duration: what is the duration of the contract is and can you please also include any extensions this may include for each contract?

9. Contract expiry date: when does the contract expire for each contract?

10. Contract review date: when is the organisation planning to review the contract?

11. Responsible officer: who within the organisation is responsible for each of these contract(s)? Please provide me with contact details including name, job title, contact number and email address.

If the LAN maintenance is included in-house or managed please include the following information:

a) Hardware brand: what is the hardware brand of the LAN equipment?

b) Number of users: please can you provide me with the number of users this contract covers. Approximate number of users will also be acceptable.

c) Number of sites: estimated/actual number of sites the LAN covers.

d) Responsible officer: who within the organisation is responsible for LAN please provide me with contact details including name, job title, contact number and email address?

Our response

I can confirm that Ordnance Survey does hold some of the information you have requested to respond to your information request. Where the information is not held or exempt from disclosure this is stated.

1. I can confirm that Ordnance Survey does hold this information. The existing current supplier for each contract is Computacenter.

2. I can confirm that Ordnance Survey does hold this information. The annual average spend on Computacenter is £84,000.

3. I can confirm that Ordnance Survey does hold this information. The approximate number of users the contract covers is 1,500.

4. I can confirm that Ordnance Survey does hold this information. The number of sites where equipment is supported by Computacenter is 1.

5. I can confirm that Ordnance Survey does hold this information. The contract type with Computacenter is maintenance.

6. I can confirm that Ordnance Survey does hold this information. The hardware brand of the LAN equipment is CISCO.

7. I can confirm that Ordnance Survey does hold this information. The brief description of the overall contract is Break/Fix contract.

8. I can confirm that Ordnance Survey does hold this information. The contract duration is 3 years.

9. I can confirm that Ordnance Survey does hold this information. The contract expiry date is 31/12/2008.

10. I can confirm that Ordnance Survey does hold this information. The contract review date is 01/03/2017.

11. I can confirm that Ordnance Survey does hold this information. The person who is responsible in the organisation for the contract is the Supplier Relationship Manager. Information relating to the contact details of this person is exempt from disclosure under Section 40(2) of the FOIA ' personal information'.

Section 40(2) – Personal Information
We consider this exemption applies because the release of: employees names, personal contact telephone numbers and their own work email address constitutes personal data, and is exempt because the release of this information would breach one of the data protection principles, as detailed in Section 40(3) (a) (i) of the FOIA.

In applying this exemption, we have considered whether disclosure of the personal data in question would be 'fair' (as described in Part II of Schedule 1 to the Data Protection Act). We have also given particular consideration to the likely expectations of the data subject regarding the disclosure of their personal information in this manner.

Public Interest
When Section 40(2) of the FOIA is engaged, and where the release of the requested information would breach one of the Data Protection principles, this constitutes an absolute exemption, and no public interest test is required.
