Thank you for your email of 14 November 2017, requesting information from Ordnance Survey in accordance with the Freedom of Information Act (FOIA) 2000:

We are conducting a short piece of research for a new public relations and marketing client that is interested in bidding for public sector contracts. I would therefore be grateful if you would provide the following information submitted as a Freedom of Information request.

Part 1
1. Does your department currently use a private company to undertake any of the following services:

  • Public Relations
  • Social Media Communications
  • External Stakeholder Communications
  • Internal Stakeholder Communications.

2. If yes, can you please confirm:

  • When the current contract was last let
  • When the current contract expires
  • Whether the current contract has options to extend its length
  • When you expect to retender the contract.

3. If no (to question 1 above), are you considering letting such a contract in the future and if so, do you have an approximate timetable for engaging the market?

Part 2
4. Have you used a private company to help you with any other marketing or public information campaigns in the past two years?

5. If so, could you please provide a brief overview of what those campaigns were about and approximately how long your contract with the company was for to support the campaign(s)?

Our response

I confirm that Ordnance Survey does hold the information you have requested. Taking each request in turn, I confirm the following:

Part 1

I can confirm Ordnance Survey currently uses a private company for Public Relations services only.

2. If yes, can you please confirm:

  • When the current contract was last let
  • When the current contract expires
  • Whether the current contract has options to extend its length
  • When you expect to retender the contract.

Contract let: Q4 2017
Contract expires: Q4 2020
Option to extend: There is a six-month option to extend
Expect to retender: At the end of the contract term (Q4 2020)

Not applicable.

I can confirm Ordnance Survey has used private companies to help with marketing/public information campaigns in the past two years.

5. If so, could you please provide a brief overview of what those campaigns were about and approximately how long your contract with the company was for to support the campaign(s)?

The FOI Internal Review Officer will not have been involved in the original decision. They will conduct an independent internal review and will inform you of the outcome of the review normally within 20 working days, but exceptionally within 40 working days, in line with the Information Commissioner’s guidance.

The FOI Internal Review Officer will either: uphold the original decision, provide an additional explanation of the exemption/s applied or release further information, if it is considered appropriate to do so.
