At Ordnance Survey, we are committed to protecting the privacy and security of your personal data. This Recruitment Privacy Policy outlines how we collect, use, protect and safeguard your personal information during the recruitment process in accordance with the UK General Data Protection Regulation (UK GDPR) and Data Protection Act 2018 (DPA). It applies to all candidates applying for roles with Ordnance Survey.

Who we are
This Recruitment Privacy Policy applies to Ordnance Survey Limited, and its group of companies which shall comprise Ordnance Survey Leisure Limited and Ordnance Survey International Services Limited and any other company that is or becomes solely owned by Ordnance Survey Limited will be referred to as we, us, our.

- SOVA (online assessments) - Sova is a UK-based digital assessment platform used by Ordnance Survey to support recruitment and talent development for certain roles. It offers psychometric testing, situational judgement tests, video interviews, and other tools to help Ordnance Survey evaluate candidates' skills, personality traits, and suitability for roles. - Procius (background checks) - Procius is a UK-based background screening company that provides Ordnance Survey with pre-employment vetting services of the right to work and criminal record checks. - Kays Medical (Occupational Health partner) - Kays Medical is a UK-based occupational health provider that provides Ordnance Survey with pre-employment checks and the Employee Relations team use them for casework. - Managed Service Provider – Ordnance Survey use a Managed Service Provider to manage all contingent workforce needs that oversees the entire process of sourcing, managing, and paying temporary or contract workers. We require all third parties to respect the security of your personal data and to treat it in accordance with the law. We do not allow our third-party service provider processors to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions.
Ordnance Survey does not make decisions based solely on automated processing or profiling that significantly affects you.
Where scoring or filtering tools (e.g., online assessments or interview evaluations) are used, all outcomes are reviewed by human assessors.
We implement appropriate technical and organisational measures to protect your personal data from unauthorised or unlawful processing, accidental loss, destruction, or damage.
We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.
We retain your personal data only as long as necessary to complete the recruitment process and in accordance with our data retention policies.
If your application is unsuccessful, we may retain your data for up to 12 months for consideration in future recruitment opportunities, unless you request otherwise. After this period, your data will be automatically and securely deleted.
You have the right to:
- Access your personal data and request a copy.
- Rectify any inaccurate or incomplete data.
- Request the deletion of your data.
- Object to the processing of your data.
- Withdraw your consent at any time.
